THERAPY AGREEMENT

Abantu Therapy Ltd – Therapy Agreement 2025

​

The following information outlines the services provided by Abantu Therapy Ltd and the expectations for both clients and therapists. If you choose to proceed with therapy, these terms form the basis of the contract between us. Please read this agreement carefully and contact us if you have any questions. The agreement must be signed prior to your first appointment.

A) Treatment Sessions

The therapist is bound by the Codes of Ethics and Professional Practice of the British Psychological Society (BPS) and the Health and Care Professions Council (HCPC). Copies of these codes can be provided on request or viewed on the organisations' websites.

Sessions last 50 minutes unless there is a therapeutic reason to adjust the duration.

If you cancel or postpone a session with less than 48 hours’ notice, the full session fee will be charged.

Abantu Therapy Ltd reserves the right to cancel pre-booked sessions in the event of unpaid fees and may pursue any outstanding payments first through informal means and, if necessary, through legal channels.

B) Fees

Self-referred clients will be charged:
• £130 per remote session
• £140 per in-person session

Payment must be made at least 48 hours before the appointment. If payment is not received, the session may be reallocated.

Written assessment reports are not included in session fees and can be provided at an additional cost of £100.

Fees include any written materials supplied by the therapist but exclude the cost of recommended books.

Therapy may be covered by insurers such as Bupa, AXA, Aviva, WPA or Allianz, provided this is agreed in advance. Insurance authorisation must be supplied before treatment begins. Where authorisation is confirmed, fees will be claimed directly from the insurer. Clients are responsible only for excess charges, late cancellation fees and any additional reports or services not covered by the insurer. You will be informed in advance of any costs you are required to pay.

Cancelled sessions are not covered by insurance and will be charged directly to you.

If sessions are not pre-authorised by the insurer, you will be responsible for the full payment of outstanding invoices. Abantu Therapy Ltd reserves the right to cancel future sessions until payments are settled.

C) Payment Terms

Invoices are issued in advance of sessions or blocks of treatment and must be settled prior to the session unless insurance funding is in place.

For in-person sessions, cash payments are accepted at the start of the session. Cheques are not accepted.

If agreed payments are not made, therapy may be terminated immediately and the matter may be referred to a solicitor for further action.

D) Cancellations and Late Attendance

​

If the therapist needs to cancel an appointment, you will be informed as soon as possible and offered a rescheduled session.

If the therapist is running more than 10 minutes late, they will contact you to advise you. You will still receive your full session time.

If you are running late, please attempt to contact the therapist by email, phone or text. You will be seen for the remainder of the appointment, but sessions cannot be extended beyond the allotted time. If you end the session early, the full fee still applies.

We recognise that unexpected situations such as illness or family emergencies can arise. Please inform us as early as possible. Each situation will be considered on a discretionary basis, although the cancellation policy still applies.

E) Confidentiality

​

The therapist engages in regular professional supervision and continuing professional development in line with ethical requirements. Your case may be discussed in supervision, using no identifying information.

Confidentiality will be maintained according to professional codes and legal requirements. It does not apply where withholding information would lead the therapist to break the law or breach ethical standards.

Confidentiality may be broken when there is serious concern about your safety or the safety of others. Wherever possible, this will be discussed with you first.

In cases relating to terrorism, vulnerable adults or children, safeguarding concerns, or drug trafficking, confidentiality must legally be breached and information shared with relevant authorities.

Session notes are kept securely and in accordance with the UK GDPR Act (2018). They may be shared only with the clinical supervisor or if required by a lawful court order. You have the right to access your records, which can be arranged during a session.

If you have been referred by an external agency such as a solicitor or insurer, and consent is provided, therapy records may be shared with the referring party in line with GDPR requirements.

Professional boundaries will be maintained at all times. The therapist will discuss boundaries such as contact outside of sessions where appropriate.

F) Use of Artificial Intelligence (AI) in Clinical Practice

​

Abantu Therapy Ltd may use artificial intelligence tools to support aspects of clinical practice. These tools may assist with:
a) summarising session notes and maintaining accurate records
b) treatment planning and formulation
c) reviewing evidence-based practices to support clinical decision-making

AI tools are used only to support, not replace, clinical judgement. All decisions and records are reviewed by a qualified clinician.

No personally identifiable information will be entered into any AI system that does not comply with recognised privacy and security standards. Use of AI is conducted in line with UK GDPR and professional ethical frameworks.

By engaging in therapy, you acknowledge and consent to the use of AI tools as described. You may discuss any concerns with your therapist at any time.

G) Endings and Breaks in Treatment

​

Psychological therapy can be challenging and may bring up difficult emotions. If you feel unhappy or unsure about any part of the process, please raise this with your therapist so that it can be addressed together.

In most cases, endings are planned collaboratively. You and the therapist will work together to prepare for the end of therapy when the time is right.

Therapy will not be ended suddenly by the therapist unless there are exceptional circumstances, which will be discussed with you. Acts or threats of violence will result in the immediate termination of therapy. Sessions will not proceed if you attend under the influence of alcohol or non-prescribed substances.

The therapist will inform you of planned holidays well in advance. Unforeseen cancellations due to illness or professional commitments will be communicated as early as possible, and an alternative session offered.

If you are dissatisfied with the service, please discuss this with your therapist. If the issue is not resolved, you may raise a complaint with the BPS or HCPC.
